All About the Workday Public Cloud Migration

The Public Cloud is the preferred platform for deploying new customers to the Workday ecosystem. It offers many advantages and allows Workday to provide faster innovation and quicker time-to-value for their customers. Existing customers are now being migrated to the Workday Public Cloud so they can realize the benefits.

Before jumping into your cloud migration, let’s look at the basics to better understand the why Workday is moving to the Public Cloud and what you need to do to/what you can expect when you migrate from your current private cloud data center to the public cloud.

Why Workday is Migrating to the Public Cloud

Workday has partnered with hyperscalers to deploy customers to the public cloud​. As the preferred platform, the Public Cloud will host all Workday tenants to allow Workday to continue to deliver unique value to their customers—regardless of size, region, or industry—and provide more opportunity for innovation.

Some of the major benefits of moving to the Public Cloud are:

  • User Interface Zero Downtime for Production Tenants during Weekly and Monthly Maintenance: Users can engage with the Workday UI and underlying services during Weekly and Monthly Maintenance.
  • Regional Maintenance Windows: Maintenance Windows for data centers in the Public Cloud are scheduled per the data center location time zone
  • Regulatory Compliance: Public Cloud data centers offer benefits such as FedRAMP compliance and regional data residency
  • Innovation Time-To-Value: Large cloud service providers offer unparalleled scalability, availability and resiliency, and invest heavily on their infrastructure, which allows Workday to deliver features faster

With the Public Cloud, Workday customers can maximize technologies, such as AI services and Machine Learning capabilities, which provide advanced analytics, intelligent automation, and predictive insights.

Who is Affected?

All Workday customers hosted on Private Data Centers will eventually be moved to the Public Cloud. Workday first began migrating targeted accounts in late 2023 and will continue selecting customers to move until everyone has completed the migration.

Here are the criteria of customers who can expect to be migrated:

  • All existing customers that are not on the Public Cloud will have to migrate. For the US, WD1 and WD5 are common tenants that will require migration
  • Emerging markets are the first customers being transferred to the Public Cloud
  • Customers with active or recent implementations are excluded​, as they are already hosted in the Public Cloud

How You Can Prepare

We highly recommend that customers be proactive in contacting Workday to schedule their own migration timeline. If you wait too long, Workday may schedule a time for you that is not optimal for your cyclical events.

There are several business events that you’ll need to consider when selecting your migration date.

Review this list and choose a migration date that doesn’t interfere with any of these important cyclical events.

  • Benefits Open Enrollment period
  • Year-end processing
  • Merit Cycle
  • Seasonal hiring cycle
  • Planned acquisition or divestiture
  • Planned Add-On deployment
  • A company reorganization
  • Blocked or change freeze days

Additional Considerations

  • Are key stakeholders within your company aware of the migration and support the effort?
  • Are third-party vendors that you integrate with in Workday aware of the required changes and have enough time to execute them?

To get started:

  • In Customer Central, request a migration window by opening a support case. ​
  • This allows customer to avoid important events i.e. Year End Close, Open Enrollment, Acquisitions/Divestitures, Seasonal hiring cycle, Merit Cycle)​
     
  • Customers will be given the option to schedule their migration – it generally takes 6 weeks to generate the new implementation tenant hosted on the public cloud.
  • Workday offers a public cloud implementation tenant for impact analysis & testing for up to 2 months at no charge.

Planning

  • Contact Workday to amend your existing Master Subscription Agreement
  • Work through the Migration Date Self-Assessment to determine the best migration timeline for your organization
  • Choose a Support Partner to assist with your migration and develop a Project Plan
  • Perform overall impact analysis
  • Build a communication plan to inform internal users, stakeholders, and affected External Vendors
  • Commit has email templates to help with this process!

Configuration

  • Line up the internal resources you will need for testing any affected Functional Areas
  • Make changes in temporary Cloud Implementation Tenant
  • Prepare for E2E Testing, including 3rd party integrations and SSO
  • Update Schedule Public Cloud Migration case by 10 AM PT, should you need to postpone migration

Migration

  • Initiate migration to the public cloud
  • Phase 1 – Migrate your Implementation tenant(s) and Customer Central tenant (should you have any Implementation tenants) in parallel on the Saturday you select, starting at 9 AM Pacific time.
  • Phase 2 – 2 weeks after phase 1, we migrate your Production tenant. We recommend you send a final notification to end users to remind them of the upcoming migration, downtime, and new URL.
  • Perform smoke testing and validation directly following the Phase 2 migration
  • Launch your post go-live communication plan

Support

  • Manual/Scheduled First Run and Monitoring
  • Verify Authentication for internal and external users
