Absence

Accrual Expiration

Accruals can now have a custom expiration override based on the accrual date

Availability: Set Up Required

Level of Effort

Why this is important: Rather than having all time expire at once, certain accrued time can forfeit in different time periods. An example use case would be for workers accruing based on their hours worked. Hours accrued based on Overtime can be separated from hours accrued based on Regular time so that the Overtime accrued hours stay on the plan for a longer period before forfeiting.

Accrual Expiration Override

  • Configuration of individual accrual expiration dates is found on the accrual overrides tab. Configuration is the same as Time Off Plan forfeiture.
  • Each accrual that receives the Accrual Override will expire based on the configuration. If not configured, time will expire based on the Time Off Plan’s setup.

Manual Accrual Expiration Overrides

  • Maintain Accrual and Time Off Adjustments/Overrides.
  • New field for Reference Date is added so that accrual adjustments can be given and then expire on the appropriate dates.
  • Maintain Accrual Expiration Overrides Task
  • New task allows for workers to have the accrual overrides defined on the accrual overridden for certain individual cases.

Reporting updates have been made to more easily track expiration of accruals

  • Expiring Accruals Forfeited in Period is a new column added to all standard time off balance reports. Will only appear if expiring accruals are configured. This will allow you to accurately track when time is expiring and where it’s coming from.
  • My Expiring Accruals report is a new self-service report that allows workers to track when their accrued time is set to expire.

Adaptive

Archived Versions

Improved processing time and data preservation on locked versions

Availability: Automatically Available

Why this is important: Users can now make updates to their models with significantly less risk to impacting legacy versions.

What is an Archived Version?

  • You can now create an “archived” version rather than a “Calculate Formula Values” version. Archived versions allow for a more complete data freeze that preserved from certain model updated that would impact calculated versions.

Archived Version Functionality

  • Make model updates (accounts, structures, data loads) without impacting leaf level data in archived version
  • Rollup values within archived versions continue to aggregate dynamically based on structural changes
  • Restate actuals data without affecting the actuals overlay or plan data within archived versions
  • Reconfigure linked accounts without affecting the data in archived versions

What about my current “Calculate Formula Values” Version?

  • Those versions will remain untouched and will maintain the old functionality. To update them to archived versions, you must first clear the Calculate Formula Values check box. Clearing the Calculate Formula Values check box causes the version to recalculate. Ensure you are comfortable with the potential data changes that may result before clearing the check box.

OfficeConnect Enhancement

Write Back from OfficeConnect to Adaptive Planning

Availability: Set Up Required

Level of Effort

Why this is important: This allows planners to create OfficeConnect reports in Excel that also allow for editing of the plan without having to log back into Adaptive.

New Features

  • Update your planning data without leaving Excel

  • Writeback can edit the following elements:

Steps

  • Update OfficeConnect to the latest version

Predictive Forecaster

Use Machine Learning to generate a baseline forecast

Availability: Set Up Required

Why this is important: Predictive Forecaster seeds plan versions with ML-generated data, which serves as a reliable starting point for budget managers.

Predictive Forecaster Methodology

  • Predictive Forecaster leverages your historical data to populate specified forecast versions with ML predicted data
  • Specify the ML Algorithm, actuals version, period range, dimensionality and accounts you want to generate a baseline plan for, and the predictive forecaster will generate a related plan
  • To access Predictive Forecaster, there is a new permission available within Permission sets

Time Tracking

Automatically Submit Time

Time can now be scheduled to automatically submit on a regular cadence instead of utilizing Mass Submit Time

Availability: Set Up Required

Level of Effort

Why this is important: This saves you time and effort and increases efficiency in managing the submission of time by eliminating the need to schedule the submission of time for each period and the need to manually select the list of workers.

Time Tracking Administrators are now able to automatically submit time on behalf of several users at once

  • The new Auto Submit Time task can be configured to auto submit at once or at a frequency on behalf of workers.
  • Frequency is configured on the Time Entry Template and can be scheduled so that workers who only check in/out no longer need to submit their own time.

Reporting Updates

  • Reported Time Blocks for a Date Range
  • Enables you to identify only reported time blocks within a date range for better time submission for payroll processing.
  • Also allows for better time management of teams.
  • Import Reported Time Blocks Web Service
  • New Auto Submit field has been added to the following Web Services so that blocks are automatically submitted when loaded.
  • Import Report Time Blocks, Import Time Clock Events, Put Time Clock Events.

Enter Time by Period

The default time entry calendar view can now be configured to the time tracking period

Why this is important: Workers and managers are now able to seamlessly transition between the time off and time tracking calendars. Periods can also be setup to view more than a week a time as well aa enter absence directly onto the timesheet.

Ability to Request Absences directly from the time calendar

  • Workers are now able to request an absence using the related actions on the time calendar.
  • This update will also view holiday information, period start/end date, payment date and incomplete check in/check out blocks.

  • The following will only be available with the new Absence Calendar experience setup.

Benefit Elections User Experience Redesign

Cards framework is expanded throughout Benefits module

Why this is important: This will impact the end user’s experience in how they view their benefits. While the navigation remains the same, the view is changing so it would also be a good idea to update any training materials.

A worker’s view of their current benefit elections will be updated in the following places:

  • Benefit Election tab in the Benefits and Pay Hub
  • Benefits tab of a worker’s profile
  • Current Benefit Elections page when you select View My Current Benefit Elections from a worker’s related actions

More flexibility with sending messages for benefit tasks

Why this is important: This feature adds some much-desired flexibility and customization options when sending benefits notifications. This can also help increase employee engagement and help improve open enrollment participation.

Retirement Savings Auto Contribution Increase

Allow workers to opt in to automatic contribution increases

Availability: Set Up Required

Why this is important: This  feature was designed to help employers comply with Secure Act 2.0 legislation and supports auto increases for contributions to retirement plans.

New configuration options on percentage-based retirement plans:

  • Auto Contribution Increase (check box)
  • Auto Contribution Percentage (can be between 3-10%)
  • Yearly Auto Contribution Increase Percentage (can be 1% or higher)
  • Auto Increase Percentage Maximum (can be between  10%-15%)

New options in an enrollment event:

Payroll

Arrears Balances for Employee Self Service

Workers can now access their current arrears balance through employee self-service and the Benefits and Pay Hub

Availability: Set Up Required

Why this is important: Reduces effort on payroll administrators and provides two points of access for workers to review their pay and arrears balance details.

  • This feature will need to be enabled for any countries you want to provide access to the employee self-service
  • For workers with multiple jobs, you can now use the Switch Position button in the Benefits and Pay Hub – Pay > Arrears section
  • The arrears balance will display as long as workers have at least one deduction with a balance
  • If any changes have been made to the arrears balance the historical details can be viewed by clicking on the Current Arrears Balance (As of Payment Date) number hyperlink

Retroactive Pay with Different Tax Authorities for On-Cycle Payroll

Tax Authority Changes  are now supported on current on-cycle pay results

Why this is important: The new feature helps you to comply with tax requirements and save time and manual effort by not requiring the retroactive payments to go to an off-cycle payment.

  • A Payroll Administrator can now pay a retroactive payment back to a period when the worker was in different tax authorities
  • The retroactive pay will be included on the current on-cycle pay result
  • Workday resolves the taxes on a single pay result with one payroll result line displaying per:
  • Tax for the current period
  • Tax for each retroactive period that has different applicable tax authorities than the current pay result
  • On-Cycle Payroll Payments are updated to:
  • Calculate work and resident taxes for the tax authorities of retroactive payments
  • Include the retroactive tax authorities on the completed payroll result
  • When calculating taxes for retroactive payments, Workday now uses the:
  • Tax authorities that are in effect during the retroactive pay period
  • Rates, limits, reciprocity rules, and tax elections that are in effect for the current pay period
  • You will see the new Retro Period Tax Authorities column in the pay result
  • This column will only display if the tax authorities in the retro period are different than the tax authorities in the current period

Manager Experience for Change Job

Workday makes it easier for Managers to update a Worker’s compensation during a Job Change

Why this is important: This feature reduces manual data entry and improves accuracy when changing compensation for a worker. Our new compensation change templates also provide you with the ability to configure a more simplified compensation process that fits your needs.

  • Each template is specific to a business process reason, and you can configure up to 100 templates

Global Navigation Menu Categories

Enhanced Global Navigation Menu for Custom User Experience

Why this is important: This feature enhances the user experience by making the home menu page customizable, ensuring that users can navigate Workday as efficiently as possible.

Administrators can now access the Configure Global Navigation Menu task

  • Override default categories assigned by Workday to choose desired category for organizational needs on the Dashboard/Worklets tab
  • Create custom labels for categories on the Categories tab – Workday supported language translations available

Why this is important: This feature gives end users more controls over how tabular report data displays. It also makes it easier to understand the context of data on reports that have many columns and require horizontal scrolling.

  • Workday makes it easier for end users to view tabular data on reports by enabling them to freeze columns of their choosing
  • When end users run one of the following custom or standard report types and select “Grid Preferences”, they can drag and drop columns to freeze:

Schedule Live Composite Reports

Scheduling of Composite Report

Availability: Automatically Available

Why this is important: This feature enables you to interact with report results directly in your browser instead of generating a CSV, Excel, or PDF output. Keeping the report results in Workday also makes your data more secure.

  • Workday gives you more flexibility in how you view data for large composite reports by enabling you to schedule them to run in the background.
  • We add the new View in Browser option to the Output Type section on the Output tab in the Schedule a Report task.
  • When you select View in Browser, Workday runs the composite report in the background and delivers a notification when the report results are ready. The composite report results are a snapshot from when the background task finished, but the drill-down and outline expansion results are interactive, real-time data.
  • You can’t share the report when you select View in Browser.

Automatically create & manage Zoom meetings for virtual course offerings

  • New Zoom Integration Systems option when configuring ‘Select Virtual Classroom Integrations’
  • A Zoom meeting link can be auto generated when scheduling offerings.
  • A new Organizer field for virtual classroom lessons:
  • The organizer’s mailbox will be used to schedule a Zoom meeting and they’ll be the meeting host for the virtual lesson (typically, the Organizer will be the Instructor(s) for the lesson)
  • It is possible to have simultaneous enablement of both Microsoft Teams and Zoom integrations

  • This update allows you to efficiently clean up large volumes of extraneous data, helping your organization stay compliant with data protection and GDPR requirements.

Changes

  • There are now existing and new purgeable data types (PDTs) to allow you to purge data for Pre-Hires without a candidate, student, or worker record in Workday. This includes names, contact information, personal details, IDs, payment elections, resumes, event data, and more. Additionally, payroll administrators can now remove payment election data for Pre-Hires.
  • You can only purge data for standalone Pre-Hires with no linked worker, student, or candidate records, and no incomplete or in-progress hire events.

Processing Errors Header for Web Services

  • You have greater control over your SOAP Import web service calls by allowing you to handle processing exceptions, including custom validations

  • If you…
  • Set the header to x-handle-import-process-errors=1 (true), your Import web service will use the new processing to handle exceptions. For v43.0 and higher, this header defaults to true
  • Set the header to x-handle-import-process-errors=0 (false), your Import web service won’t use the new processing to handle exceptions. For web service versions lower than v43.0, this header defaults to false
  • Use this header to handle processing exceptions, your web service might run slower
  • This update only applies to Import web services. Bulk Import web services already automatically use the processing provided by this new header

Data Changes on Demand REST API

Why this is important: This enhancement allows vendors to pull dynamic data changes for Full Pay Groups and full data sections (or targeted/specific workers and fields) from their end (without the restraints of a WD Integration Setup). They can pull data via the REST API whenever they like.

  • Now when sending worker data to third-party payroll systems using Workday data transferring connectors, you don’t have to:
  • Schedule integration runs.
  • Use file-based outputs from Workday
  • Adhere to Workday interpretation of staffing event codes and business logic

  • We deliver a Data Changes on Demand integration that uses the new Effective Changes API in the Global Payroll v1 REST web service (secured to the new Manage: Data Changes on Demand domain in the new Global Payroll Connect functional area) for:
  • Full pay groups or specific workers
  • Full data sections or specific data fields
  • Data Changes on Demand is a full stack integration that provides field level change detection and returns the current snapshot for each worker in a JSON format.
